The way students, staff and faculty use software has changed. Rather than reacting to requests or searching for more room in the budget, proactive IT teams can identify and reduce unused software applications and suites.
Data Portability allows you to see what licenses aren’t being used in a matter of minutes.

How to find zero-use and least used software:
- Open the Software Usage Template
- Open the Peak Concurrent Application Usage tab
- Set the application slicers to include all (Vendor, Application Tag, Application, Group (Hierarchy), Station Tag, User Tag).
- 4. In the Application Usage table, click the arrow in the Application Utilization % column to organize the software with the lowest percentage to the top.
Understanding your results
If the Application Utilization % column is blank, the software has not been used in the date range. A low Application Utilization % indicates that you have excess software licenses. Software with a low Application Utilization % or no use at all is a logical place to consider reducing licenses.
Now that you’ve identified what software is underutilized, it’s important to identify where those licenses are installed.
- Select the Peak Concurrent Application Usage by Group tab at the bottom of the template.
- Use the Application slicer to select or search for the name of the software you’ve identified.
- The groups with this software will populate in the application usage table.
- In the Application Usage table, click on the plus signs to drill all the way down to the individual computer..
When you drill down to individual computers, you can then determine which machines should be reimaged.
Now that you know what software isn’t being used, and which machines you can reimage, you can use that information to cut excess software licenses.
